RESPONSIBILITIES: The candidate will be responsible for renting apartments to companies customers. This will include, but is not limited to, meeting & greeting customers, conducting client tours, inspecting the preparation of apartments, preparing and executing application and lease documents, advertising apartments and working with outside brokers. FUNCTION: This is a responsible position accountable to protect, maintain, and enhance the value of commercial real estate assets in order to maximize the owners financial return and for the benefit of the tenants, consumers, and the community. This is accomplished by direction and coordination of the portfolio’s operational activities. PRIMARY DUTIES: Demonstrate a positive, professional, and client-oriented attitude about the company with coworkers, tenants, clients, and the public. Constantly strive for improvements in the work process and results to better meet expectations. Act as the company’s primary manager to assure that efforts fully meet and exceed contractual property management obligations. Direct the day-to-day activities to include, but not limited to the following: ·Maintenance of Building Systems ·Familiar w/ DHCR Housing Codes ·Represent company at Court as needed ·Extensive work with Union Contracts, Labor Negotiations, and Union Arbitration ·Other Operations as needed ·Keep accurate records of current space conditions including roof, HVAC, utilities and special circumstances ·At all times, keep vacant space in condition to show to prospective tenants ·Develop operating income/expense and capital budgets which reflect the owner’s objectives for operating the property and cash flow requirements to be used as an ongoing accounting reporting tool ·Further accountability includes operational review and analysis of corrective action needed ·Recommend and implement programs which contribute to center profitability ·Assist in the operation of bid documents for compliance with policy ·Work closely with the Procurement and/ or Construction Department in the preparation and management of the competitive bid process ·Maintain complete and accurate property files and records, according to department systems, with an emphasis on documentation for future reference ·Coordinate with support staff on management company procedures for processing and distributing information ·Provide prompt, detailed and accurate general status reports on all properties assigned ·Approve invoices for all goods/services required to maintain the properties up to company and owner standards ·Develop a network of emergency services and be available for 24 hour/weekend coverage as required ·Supervise on-site maintenance mechanics, if utilized at assigned properties ·Develop specifications and continually evaluate service needs and performance in all areas of maintenance and management ·Forecast and manage replacement of major capital expense items including HVAC system, roof systems, parking lot surfaces, etc. ·Manage tenant relations and coordinate requests for repairs and maintenance ·Assist in managing tenant improvements, as needed or assigned ·Liaison with other disciplines/departments within the company to provide a team approach to the management of real estate ·Coordinate the activities not directly controlled by the manager but directly related to each property i.e.: production of insurance monitoring, capital improvements, accounting/financial reporting and legal services ·Establish and maintain collaborative working relationships between departments, coworkers, and other members of the organization ·Keep abreast of new technologies, systems and procedures related to property management and propose change as needed ·Perform other related duties as assigned ORGANIZATIONAL RELATIONSHIPS: This position reports directly to the Head Commercial Real Estate of Property Management. Supervise and train Property Managers as required. External Relationships: Frequent contact with tenants, clients, owners, contractors, vendors/suppliers, representatives of other businesses, and members of the community. Coordinates the end product of outside contractors and their staff working on-site. Involvement in the real estate professional community is a plus in this position. Internal Relationships: Contact within the department and with other company staff at all levels. The manager must be effective with a range of staff that may not be under the managers authority. ESSENTIAL SKILLS ABILITIES, KNOWLEDGE AND EXPERIENCE: A Degree is a MUST, specialized vocational/technical training is a plus. Course work in real estate is preferred. Strong client relations skills. Eight to twelve years work in commercial property management is required and previous work experience in an engineering environment is preferred. Must have strong knowledge of commercial real estate including a broad understanding of finance, leasing, legal, marketing, construction, and the tenant relations requirements of managing a retail property. PC literacy is required (MS Word, Excel, PowerPoint, etc.). Ability to analyze and synopsize a monthly financial statement and prepare detailed budgets and operating forecasts. Ability to note deviations from financial plan, determine causes and to provide recommendations to the owner on needed action plans. Strong understanding of rent charges, lease issues and other tenant concerns required. Previous supervisory Property Management experience is preferred.
